Step 5: How to Manually Refresh Your Power BI Report Inside Power BI Service

Once your dashboard is live in Power BI Service, you can manually refresh it anytime to pull the latest data.



Advantages of Manual Refresh


  1. Full Control: You decide exactly when to refresh, reducing unnecessary system load or refreshes at odd hours.

  2. No Gateway Needed: For local Excel files, manual refresh avoids the complexity of setting up a data gateway.

  3. Avoids Schedule Conflicts: If multiple teams are working on dashboards in the same environment, manual refresh prevents unintentional overlapping or failed scheduled refreshes.

  4. Perfect for Ad-Hoc Reporting: If you only need updated data during key client meetings or reviews, manual refresh is simple and effective.

  5. No Additional Setup Required: Manual refresh works out-of-the-box with Power BI Service without configuring additional backend services.




Here’s how to do it and why manual refresh might actually be a good fit for your use case!


Step 1: Go to Power BI Service


Step 2: Locate the Semantic Model (Dataset)

Inside My Workspace, you will find:

  1. The PBIX file.

  2. The Report.

  3. The Dataset (Semantic Model).


👉 You’ll be refreshing the Semantic Model.



Step 3: Perform a Manual Refresh




  1. Click Refresh now, the Arrow-Cricle icon on the image above



Step 4: Check the Refresh Status

  • A spinning circle will indicate the refresh is in progress.

  • Once done, the last refreshed time will appear on the right-hand side.

  • If you see a yellow triangle error icon, the refresh failed.



Done!


Your report is now updated with the latest data!
